Questions about your information: contact Abiola Jibodu, Childcare Commercial Activities Lead, at school@khccc.com, or write to us at the address above.
How we use the information you give us through this website, or by phone, WhatsApp or email, when you ask about a place, book a visit or refer a family, and how our website uses cookies. If your child joins us, we’ll explain at registration how we look after your child’s records.
| When you… | What we collect | Why | Lawful basis |
|---|---|---|---|
| Send our contact form | Your name, email and phone; your child’s name and age; the setting and days you’re interested in; your message | To answer your enquiry and talk to you about a place | Taking the steps you’ve asked for before a childcare agreement |
| Book a visit | Your name, phone and email; your child’s date of birth (optional); the setting; your preferred visit time; how you heard about us | To arrange your visit, see which room and funding suit your child, and apply any offer | Taking the steps you’ve asked for before a childcare agreement |
| Refer a family | Your name, email, phone and your child’s setting; the other family’s name, phone or email, and the setting they’re interested in | To contact the family you’ve referred about a place, and to give you both the referral reward | For you: running the offer you’ve taken part in. For the family you refer: our legitimate interest in telling a family about places when someone who knows them suggests it. We tell them where we got their details the first time we contact them, and we stop if they ask. |
| Call, WhatsApp or email us | What you tell us, and your number or email address | To reply and help with your enquiry | Taking the steps you’ve asked for |
| Come to us through one of our adverts, posters or posts | Which advert, poster or link brought you (for example “A5 flyer”), saved with your enquiry | To see which advertising works, so we spend charity money wisely | Our legitimate interests |
| Receive a referral reward or a special offer | Who received it, when, and for which child. Rewards are paid in cash, so we don’t need your bank details. | To honour the offer and keep proper accounts | Running the offer, and our legal duty to keep financial records |
| Browse our website, if you accept analytics cookies | Pages viewed, type of device, approximate area (town or city) and how you found us | To see which pages help families, and improve those that don’t | Your consent, which you can change at any time |
Please don’t include health or other sensitive information about your child in our forms. If your child joins us, we’ll ask for what we need at registration and explain how we protect it.
We don’t sell your information. We don’t send newsletters or marketing emails at the moment; if we start, we’ll only add you if you ask to join.
Only where we need to:
Some of our providers, such as Microsoft and Google (and Meta, if you message us there), may handle information outside the UK. When they do, it’s protected by safeguards recognised under UK law, such as the UK–US Data Bridge or the ICO’s international data transfer agreement.
